Steps for Getting Started with Payroll Module

INTRODUCTION

The module captures employee attendance and timekeeping information, produces checks and statements of earnings, distributes salary and fringe benefits to staff and retirees, processes remittances to government agencies for whom deductions are taken, and creates required tax documents.

SUB – MODULES

1) Payroll Dashboard

The payroll dashboard is used to filter based on the payroll month, payroll group, department, etc. The data will be displayed accordingly.

2) Payroll Components

Salary paid to the employees comprises of several different components, such as basic salary, allowances, arrears, etc. The payroll component page is used to create the components and assign the applicability.

3) Payroll Group

It is used to group the components created under a single name according to the salary structure.

4) Employee Level Setup

It is used to assign the the payroll group, mode of payment and the PT state for all the employees in the list according to there designation and work location.

5) Compensation Details

It is used to add the monthly earring component value for all the employees i.e., 31 days.

The columns from E to Z can be replaced with the components created in the payroll component page.

6) Statutory Setup

It is used to assign the setup for the deductions according to the rules and regularization mentioned by Government of India for ESI, PF, PT, TDS, LWF.

7) Payroll Process

The main process of the payroll module is the payroll process which generated the payslip report for all the employees for the particular month or specified dates based on the leave details.

Step 1: The Attendance should be processed, if the attendance is available in the biometric report, then click on Get Logs -> a pop up will appear – select Yes in the box to fetch the logs from the attendance module, then click on Get Report button, so the attendance is processed in the payroll. If the attendance module is not used, then the attendance data can be import and update.

To import the data -> click on the import button -> download the template -> enter the data using the instruction mentioned and upload the same .csv file into the portal.

Step 2: If any of the payroll component are setup as adhoc which means the value of the component keeps changing every month, so those values can be updated in the adhoc page. If there are no value to update in the adhoc then this step can be skipped. The employee names which was visible in the attendance page will be only shown in the adhoc and payroll process page.

The payroll group and the payroll month should be selected -> then click on get report. A table will generate below in which the values for the employee can be updated. The data can be updated through import option. Click on import button -> download the template -> enter the values in the csv file and upload the same into the portal.

The component code can be copied from the payroll component page.

Step 3: The payroll process can be done once the attendance and the adhoc is updated.

The Payroll group; Payroll month and should the payroll be processed for all the employees or any selected employees can be selected -> click on Get report button. The employee list will be visible below. Select the check box beside the employee number -> click on Payroll Process button. The payroll will be processed for the selected employees.

To view the payroll report click on the Pay register button -> select the payroll group, payroll month, the report for all the employees will be displayed, if any particular employee name is selected, then that particular employee payroll details will be displayed. This option is available in the Payroll Reports page also.

If any changes has to be done in the payroll values, then the processed payroll can be rolled back by selecting the Payroll Corrections button. Select the payroll group -> Payroll month -> all the employees list for whom the payroll is processed will be displayed. The employee for whom the payroll should be rolled back should be selected -> click on horizontal line and select the delete row option -> click on save button. The employee record will be removed which means the payroll report is rolled back.

8) Arrears Process Setup

After the hike compensation is updated. The difference value is added in the next month payslip. To display the arrear value the arrear process setup is used.

The processed arrear can be rolled back using the arrear correction page which functions same as the payroll correction page.

9) TDS Adjustment

Once the payroll is processed, if there are any changes that needs to be done in the TDS value, then TDS adjustment page can be used.

The TDS report of all the employees whose payroll is processed will be displayed once the payroll month is selected. So the values can be edited by double clicking on the TDS amount and click on save button. So, the changes will reflect in the payroll report.

10) Update Payroll TDS

The Tax declaration documents uploaded by the employee can be viewed in the Update Payroll TDS page. The report will be visible according to the financial year selected from the drop-down available.

11) Payroll Report

The Payroll report displays the payroll details after the payroll is processed in different format such as, pay register, ESI report, Loan Statements, PF, PT, TDS, etc.

12) Cumulative Tax Projection Report

It displays the tax report for the selected employee for the selected financial year.

13) Payroll Summary

The payroll summary represents the complete summary details for the current month from where the payroll can be viewed and processed.

14) Payroll Import

If the organization is not using the auto payroll process, then Payroll import page is used. From where the payroll value for every component is entered manually by the client and upload the same into the portal.

The template should be downloaded, the values can be updated and the same can be imported into the portal.

The component01,…. should be updated with the payroll component code which can be selected from the payroll component page. The values can be entered and saved. The template can be uploaded into the portal. The report will be available in the payroll reports page, if the data wants to be changed, first the payroll should be rolled back and the new data can be imported, else there will be no changes reflected in the portal.

15) Bank Statement

Once the payroll is processed, a bank statement will be created automatically with the net salary of the employees which can be download and shared to the respective bank to credit the same into the employees bank account.

Once the payroll month is selected, the report will be displayed below. The report can be downloaded by selecting the Action button -> download option will be available.

16) Upload Finance Document Templates

The admin as the access to upload the template in which format the employee has to upload the document during the tax declaration.

Click on Upload Document -> the admin can upload the template of the required document which will be visible to the employee in the Self Service -> Tax Declaration page.

17) Delete Compensation

The uploaded compensation value can be changed from the Compensation details page itself. If the Date of joining is mentioned wrong, then the complete compensation should be deleted and created again. The compensation details can be deleted from the delete compensation page.

When the employee name is selected, the compensation details created for the employee will be visible. When the Delete Compensation button is clicked, the recently created compensation details will be deleted from the list.
